Getting started with the File Library

This is the shortest complete path through the File Library: nine screens, from an empty project to a folder shared with a colleague. Each step names the control you press and says what happens next.

Before you start

Pick the project you are working on first. Every folder and file belongs to one project, and the Add controls are disabled until one is selected, with the reason Select a project first to add files.

Open the File Library

Select File Library in the left sidebar.

The route opens with the Files panel on the left and the project home on the right. The home reads What would you like to explore today? over See an overview of this project, then select files for summaries and insights. Choose files opens and focuses the Files panel; Upload opens Add/import. Neither action changes selection.

Across this project shows ready files, all folders, document types and dates found in ready documents. Processing and attention notices explain files still being prepared. Below it, Available for your selection lists the summary table and six Insights views. With no files yet, the band explains uploading and the snapshot still shows your folders.

The panel starts compact, showing just the folder tree. Press Expand in the panel header to open the full library, which adds the command bar, the folder table and room for the inspector. Collapse puts it back.

Make a folder to put documents in

A file always lives in a folder, so an empty project needs one before anything can be added. At the library root the table says No folders yet over Make a folder here to start organising this project.

Press Add at the right of the command bar. The Add band opens in place above the table, headed Add to File library. Because you are at the root, its second line reads A file always lives in a folder - open one to add files, or use the default folder, with a button that opens the project's default folder by name.

New folder on the band's title line puts a naming row straight into the table. Type into the field, which reads Enter your folder name here until you do, and press Create, or Cancel to drop it. Enter creates it too; Escape cancels.

Add your documents

Open a folder, then press Add again. The band names the destination under Add to this folder, with Change beside it. Under Create or upload sit New folder, Upload files and Upload folder, which open your computer's pickers; a folder brings everything inside it, sub-folders included. Under From the cloud, one chip per connection.

You do not have to use the band. Dragging files or folders anywhere onto the panel works too, including onto the tab strip and the tree. The overlay reads Drop files or folders here over PDF, Word, PowerPoint, images and ZIP archives.

Whatever route you take, a Confirm import strip appears above the table, headed Upload n files (or Import for a cloud source). Destination names the folder, with Change to pick another, and the folders you dragged in are recreated there. Cancel discards the batch; the button that repeats the count starts it. Nothing is uploaded until you confirm.

Watch Judicio read every page

An upload band appears above the table while the batch runs, headed Upload followed by a running tally of files added, skipped, failed and pending. A badge on the right shows the percentage transferred, then Processing, then Finished. Show lists the individual files, and the folder button beside it takes you to the folder they are landing in.

Each row moves through Validating, then Processing, then Completed. You can leave the page. Processing continues.

A file that stops short raises a second band reading 3 files need attention. Fix opens the cards. A password-protected file gets a password field and an Unlock button; anything else recoverable gets Retry; an unrecoverable one offers only Skip.

Read what Judicio found

Tick a file in the table and the analysis pane fills with the File summary for it: the title and summary, the document type, the parties, the key dates, and, once you turn them on, the monetary values and the legal metadata.

The three buttons on each summary row are Open file in preview, Edit file metadata and Open document detail. The last opens the full document page: the summary with its citations, Key facts, Parties, Document outline and Key clauses. Every citation opens the page it came from.

For one file at a time without leaving the table, use the row's own actions instead. The eye opens Preview in the inspector rail, the information icon opens Details and activity, and the third opens the file menu.

Let Judicio file the documents

Tick at least two items, and the selection band floating over the table lights up Auto folderise. Below two it tells you what it wants: Select 1 more item to auto folderise.

The modal is headed Smart Auto-Folderise, subtitled AI-powered file organization, with five steps down its left edge: Destination folder, Analysis, Strategy, Preview, Apply.

Choose where the new structure should be built, then Continue. Judicio reads the selection and reports what it found as counts of Parties, Doc types, Cases and Years, then offers named structures under Suggested folder structure, one marked Recommended. Build Custom Strategy lets you pick the levels yourself or describe them in plain English.

Check the tree before anything moves

Continue from the strategy takes you to Preview, which draws the exact folder tree that will be created and shows which file lands where.

Two controls sit in the footer. Copy files (Keep originals) leaves the documents where they are and places copies into the new structure; leave it off and the files are moved. Apply commits.

The last step reports what was created. View organized files closes the modal and refreshes the tree so you land on the result; Start over throws the run away and returns you to the first step.

Read the whole selection at once

With a selection in place, a toolbar below the File Library header carries Table and Insights. Insights turns the same selection into six tabs: Overview, Timeline, Parties & network, Financial, Jurisdiction and Clauses & terms. Each chip shows its own count once that tab has loaded.

Export in the File Library header opens Export file summary. Pick Analysis report (.pdf), Data table (.xlsx) or Data table (.csv), keep Include citations on for the PDF, edit the File name, and press Download. Download original files in the footer fetches the source documents instead.

Share the folder with your team

Open the folder's menu from the kebab on its tree row and choose Share…. The modal is titled Share folder over Invite people to access this folder.

Type a colleague's address into Email, choose Viewer, Editor or Owner beside it, and press Share folder. The person must already be a member of your organisation; anyone else is refused with User not found in your organization.
