Sharing and Permissions

Judicio's File Library lets you share folders with team members and external parties while maintaining control over who can see and do what. Permissions are set at the folder level and inherited by all files within the folder.

Permission levels

Judicio offers four permission levels for shared folders:

  • Viewer -- Can browse files and read summaries, entities, and metadata. Cannot download original files or make any changes. Best for external parties who need to review documents without taking copies.
  • Downloader -- Everything a Viewer can do, plus the ability to download original files. Suitable for co-counsel or experts who need their own copies.
  • Editor -- Everything a Downloader can do, plus the ability to upload new files, move files, rename items, and delete files. Ideal for team members actively working on the project.
  • Admin -- Full control, including the ability to manage sharing settings, invite or remove other collaborators, and change permission levels. Typically reserved for project leads.

Sharing a folder with team members

  1. Right-click the folder you want to share, or select the folder and choose Share from the toolbar.
  2. Enter the team member's email address or select from the list of organization members.
  3. Choose a permission level from the dropdown (Viewer, Downloader, Editor, or Admin).
  4. Select Share. The team member receives an email notification and the shared folder appears in their project view.

Share the highest-level folder that the person needs access to. Permissions cascade to all subfolders and files within the shared folder, so you do not need to share each subfolder separately.

Sharing with external parties

You can share folders with people who are not members of your Judicio organization -- opposing counsel, clients, experts, or consultants.

  1. Right-click the folder and select Share.
  2. Enter the external party's email address.
  3. Choose a permission level. For external parties, Viewer or Downloader is recommended.
  4. Optionally set an expiration date. Select Set Expiration to automatically revoke access after a specified date. This is useful for time-limited matters such as deal rooms or discovery deadlines.
  5. Select Share. The external party receives an email with a link. If they do not have a Judicio account, they are prompted to create a free account to access the shared folder.
External sharing and confidentiality

Before sharing folders with external parties, verify that the documents do not contain privileged or confidential information that should not be disclosed. Judicio logs all sharing activity for audit purposes, but it is your responsibility to ensure sharing complies with your client's instructions and applicable ethical obligations.

Viewing and managing shared access

To see who has access to a folder and modify permissions:

  1. Right-click the folder and select Manage Access, or open the folder and select the Sharing icon in the toolbar.
  2. Review the access list. You will see every person who has access, their permission level, and when access was granted.
  3. Change permissions. Select the permission dropdown next to any person's name to upgrade or downgrade their access level.
  4. Remove access. Select the Remove button next to a person's name to revoke their access immediately.

Revoking access

When you revoke access:

  • The person loses access immediately. The folder disappears from their project view on their next page load.
  • Any files they previously downloaded remain on their device -- Judicio cannot recall downloaded copies.
  • The revocation is logged in the project's sharing audit trail.

To revoke all external sharing at once (for example, when a deal closes):

  1. Open Manage Access on the shared folder.
  2. Select Remove All External to revoke access for all non-organization members in one step.

Sharing audit trail

Every sharing action is logged for compliance and governance purposes. To view the audit trail:

  1. Open Manage Access on the folder.
  2. Select the Audit Log tab.
  3. Review events including: who was granted or revoked access, permission level changes, when files were accessed or downloaded, and by whom.

Sharing audit logs are available for Professional and Enterprise plans. They are retained for the duration of your subscription and can be exported as a CSV file for your records.
