File formats and uploads

What file formats does the File Library support?

The File Library supports the following formats:

  • PDF (.pdf) -- Including native PDFs, scanned PDFs, and image-based PDFs.
  • Word Documents (.docx) -- Microsoft Word format.
  • JPEG (.jpg, .jpeg) -- Image files.
  • PNG (.png) -- Image files.
  • TIFF (.tiff, .tif) -- Multi-page TIFF files are supported.

If your document is in a different format (e.g., .doc, .rtf, .html), convert it to PDF or DOCX before uploading.

What is the maximum file size?

File size limits depend on your plan:

Can I upload password-protected PDFs?

Currently, Judicio cannot process password-protected or encrypted PDF files. Remove the password protection before uploading. Most PDF editors (including Adobe Acrobat, Preview on macOS, and free tools like Smallpdf) can remove password protection if you know the password.

What happens if my upload fails?

If an upload fails mid-transfer, you will see an error message. Common causes include network interruptions, exceeding the file size limit, or uploading an unsupported format. Simply retry the upload once the issue is resolved. Partially uploaded files are automatically cleaned up and do not count against your storage.


OCR and processing

How accurate is the OCR?

Judicio uses advanced optical character recognition that performs well on most printed legal documents. Accuracy depends on scan quality:

For best results, scan documents at 300 DPI or higher with a flatbed scanner. Avoid photographing documents with a phone unless the lighting is even and the page is flat.

Improving OCR results

If you receive a poor-quality scan from an external party, try using a dedicated scan cleanup tool (such as Adobe Scan or Microsoft Lens) to straighten, crop, and enhance the image before uploading to Judicio.

Does OCR work on handwritten documents?

Judicio's OCR is optimized for printed text. Handwritten content may be partially recognized, but accuracy varies significantly depending on handwriting legibility. For documents that are primarily handwritten, consider having them transcribed before uploading.

How long does processing take?

Processing time depends on the document size and type:

Large scanned documents (200+ pages) may take up to 10 minutes. You can continue working in Judicio while processing runs in the background.

Can I re-process a document?

Yes. If you believe the initial processing missed something (for example, after improving scan quality and re-uploading), you can trigger reprocessing from the file details page by selecting Reprocess. This re-runs OCR, entity extraction, and summary generation.


Storage and limits

How much storage do I get?

Storage allocations are per organization:

You can view your current storage usage in Organization Settings > Usage.

What counts toward my storage?

Only the original uploaded files count toward your storage quota. AI-generated summaries, extracted entities, and search indexes are maintained by Judicio and do not consume your storage.

What happens when I run out of storage?

When you reach your storage limit, you will not be able to upload new files until you free up space by deleting files or upgrading your plan. Existing files remain fully accessible and searchable. Judicio warns you when you reach 80% and 95% of your storage limit.


Cloud import

Does Judicio sync with my cloud storage?

No. Cloud import is a one-time copy. When you import files from Google Drive, OneDrive, or SharePoint, Judicio downloads a copy at that moment. Subsequent changes to the original file in cloud storage are not automatically reflected in Judicio. To get an updated version, import the file again and choose to replace the existing copy.

Can Judicio write back to my cloud storage?

No. Judicio only reads from your connected cloud storage. It does not create, modify, or delete any files in your Google Drive, OneDrive, or SharePoint.

Can I import from multiple cloud accounts?

Yes. You can connect multiple Google Drive, OneDrive, and SharePoint accounts to the same project. Each connection is listed separately under Connected Storage in your project settings.

What happens if I disconnect my cloud account?

Files that have already been imported remain in your Judicio File Library. Disconnecting only revokes Judicio's ability to browse and import new files from that account.


Data security and privacy

Where are my files stored?

Files are stored in encrypted cloud storage (AES-256 encryption at rest). Data residency depends on your organization's region selection during setup.

Who can see my files?

Only members of your organization who have been granted access to the project can see files in the File Library. Judicio staff do not access your documents unless you explicitly grant permission for troubleshooting purposes.

Are my files used to train AI models?

No. Your documents are never used to train, fine-tune, or improve AI models. Judicio processes your documents to generate summaries and extract entities, but the content is not retained for model training purposes.

Can I delete my files permanently?

Yes. When you delete a file, it moves to the trash and is recoverable for 30 days. After 30 days, the file and all associated data (summaries, entities, search index) are permanently deleted and cannot be recovered. You can also empty the trash manually to permanently delete files immediately.

Compliance and data retention

Enterprise plans include configurable data retention policies. Contact your account manager to set up automatic deletion schedules or custom retention rules to meet your organization's compliance requirements.


Entity extraction

What types of entities does Judicio extract?

Judicio extracts the following entity types from each document:

  • Parties -- Individuals, companies, and organizations, along with their roles.
  • Dates -- Execution dates, effective dates, expiration dates, deadlines, and reference dates.
  • Monetary values -- Dollar amounts, fees, penalties, and financial thresholds.
  • Defined terms -- Formally defined terms and where they are defined.
  • Key provisions -- Indemnification, termination, governing law, dispute resolution, confidentiality, assignment, limitation of liability, and force majeure clauses.

Are extracted entities always correct?

Entity extraction is highly accurate for well-structured legal documents such as contracts, agreements, and court filings. Accuracy may be lower for informal documents (emails, handwritten notes), documents with unusual formatting, or documents in languages other than English. Always verify critical details against the original document text.

Can I edit or correct extracted entities?

Currently, extracted entities are read-only and generated by AI. If you notice an error, you can provide feedback by selecting the Report Issue link on the entity. This helps improve extraction accuracy over time.


Troubleshooting

My file shows an "Error" status. What should I do?

Select the file to view the error details. Common causes include:

  • Corrupted file -- The file may be damaged. Try opening it on your computer to verify it is intact, then re-upload.
  • Unsupported format -- The file may be in a format that Judicio does not support. Convert to PDF or DOCX and try again.
  • Password protection -- Remove the password and re-upload.
  • File too large -- Split the file into smaller sections and upload each one separately.

If the error persists, contact support at support@judicio.ai with the file name and error message.

Search is not finding a document I know exists.

  • Check processing status. Files that are still processing are not yet searchable. Wait for the status to show "Ready".
  • Check your current folder scope. If you are searching within a specific folder, the file might be in a different folder. Navigate to the library root and search again.
  • Try different search terms. If the document is a scanned image, OCR may have interpreted a word differently. Try searching for related terms or a partial match.

My scanned document has garbled text.

This usually indicates a low-quality scan. Try:

  1. Re-scanning the document at 300 DPI or higher.
  2. Making sure the page is flat and evenly lit.
  3. Using a scanning app (Adobe Scan, Microsoft Lens) to enhance the image before uploading.
  4. Re-uploading the improved scan. Judicio will reprocess it with the better source material.
