Sharing a Work Item
Any work item in the seven AI workspaces can be shared with specific members of your organisation. This page covers where the Share controls live, what each role allows, and how to manage access after sharing.
Sharing work items requires the Organisation plan — collaborators must be active members of the same organisation. The sharing controls do not appear in personal (single-user) workspaces. See Subscription Plans.
Where to share from
There are two ways to open the sharing dialog:
- Inside an open item — the session header shows a Share button next to the avatars of the people who already have access. This works in every workspace: an open research session, a draft, a completed review, a matrix, a timeline, a translation preview, or a case strategy report.
- From the history panel — hover a completed run in the workspace's history list and open its ⋯ (more actions) menu, then choose Share.
Sharing an item
- Open the Share dialog from the session header or the row's ⋯ menu.
- Pick one or more people from the list of organisation members.
- Choose a role for each — Editor (default) or Viewer.
- Click Share.
Each recipient gets an in-app and email notification with a link that opens the item directly, and the item appears in their Shared tab and on their Home dashboard under Shared with me. See Shared with Me.
Document review and translation runs that cover several files are shared as a whole — the menu says so explicitly (for example, Share review (all documents)). Collaborators get the entire run, including every document in it. Starting a fresh run from the same files creates a new, unshared item, so access is always a deliberate choice.

Two details worth noting:
- Editors can share onward, but only at Editor level or below — they cannot create another owner or manage existing collaborators.
- Deleting is owner-only. When the owner deletes a shared item, it disappears for everyone with access.
Managing access
Open the Share dialog on the item at any time to see People with access — the owner plus every collaborator with their role.
- Change a role (owner only) — use the role dropdown next to a collaborator's name to switch them between Editor and Viewer.
- Remove access (owner only) — click the remove button next to their name. They lose access immediately: the item drops out of their Shared lists, and if they have it open, the session closes for them.
- Leave a share (collaborators) — if an item was shared with you and you no longer need it, open the Share dialog and click Leave next to your own name.
When access is revoked or a collaborator leaves, the person who lost access is notified. Anything they contributed while they had access — follow-up turns, edits, thread messages — remains part of the item, with their attribution.
Who counts as a member
You can only share with active members of your own organisation. People who leave the organisation or are deactivated lose access to items that were shared with them. Sharing outside your organisation is a different feature: use folder sharing or project invitations for external parties such as co-counsel, or a citation share link for handing a single verifiable source to someone outside Judicio.
