Workflow Library

The Workflow Library is your central hub for finding, organising, and managing all workflows -- system templates, organisation-shared workflows, and your personal custom workflows. It provides search, filtering, and sorting tools so you can quickly locate the right workflow for any task.

Accessing the Workflow Library

Open Workflows & Templates from the sidebar. The Workflow Library is the default view, showing all workflows available to you.

Library layout

The Workflow Library is organized into three tabs:

Each workflow card displays:

  • Name -- The workflow title
  • Description -- A brief summary of what the workflow does
  • Domain/Category -- The practice area the workflow belongs to
  • Tags -- Labels for further organisation
  • Type indicator -- An icon or badge showing whether it is a system, organisation, or personal workflow

Searching for workflows

Use the search bar at the top of the Workflow Library to find workflows by keyword. The search checks workflow names, descriptions, and tags. For example:

  • Search "NDA" to find all workflows related to non-disclosure agreements
  • Search "due diligence" to find transaction review templates
  • Search "GDPR" to find data protection workflows

Filtering workflows

Narrow the library using the available filters:

By type

  • System -- Show only Judicio's pre-built templates
  • Organisation -- Show only workflows shared across your team
  • Personal -- Show only your private workflows

By domain

Select one or more practice domains to filter workflows by area of law. For example, select "Real Estate" and "Banking & Finance" to see only workflows relevant to those domains.

By tags

If your team uses a consistent tagging convention, you can filter by specific tags to find workflows for a particular client, document type, or workflow category.

Sorting workflows

Sort the library by:

  • Name -- Alphabetical ordering
  • Recently used -- Workflows you have applied most recently appear first
  • Date created -- Newest workflows first
Use "Recently used" for quick access

If you use a small set of workflows regularly, sorting by "Recently used" puts your go-to templates at the top of the list every time.

Managing your workflows

From the Workflow Library, you can take action on any workflow you have permission to modify:

Previewing a workflow

Select any workflow to open the detail panel. This shows the full list of review criteria, the description, domain, tags, and who created it (for custom workflows). You can decide whether to use it, duplicate it, or continue browsing.

Quick actions

Each workflow card includes quick-action buttons:

  • Use -- Apply the workflow to a new document review immediately
  • Duplicate -- Create a personal copy you can customise
  • More options -- Edit, delete, or change sharing settings (where permitted)

Keeping your library organized

As your team accumulates custom workflows, keeping the library organized becomes important. Here are some practical tips:

Establish a naming convention

Agree on a naming pattern for your team's workflows. For example: [Domain] - [Document Type] - [Specifics], like "Employment -- Non-Compete -- Technology Sector". Consistent naming makes search and browsing much more effective.

  • Archive unused workflows by deleting personal workflows you no longer need.
  • Tag consistently so filters produce reliable results.
  • Review organisation workflows quarterly to retire outdated templates and update those that need refreshing.
  • Use descriptions to explain not just what a workflow does, but when and why someone should use it.
